Introduction
Baby Helping Hand is committed to maintain the confidentiality, integrity, and security of any personal information. As required by the Personal Information Protection and Electronic Document Act (PIPEDA) this policy discusses Baby Helping Hands information management policies and practices. I have many procedures in place to make sure your personal contact and health information and postpartum needs are only used by myself at Baby Helping Hands to provide you with postpartum care.
Collection of Your Personal Data
1. Information collected through our website contact form.
“Name, email, phone number and I am interested in” is collected for the purpose of contacting you and to have a clear understanding of what services you are looking for. “How did you hear about us?” provides me with information to track how you are finding my services for example through advertising, word of mouth, social media, internet search etc. This information is used to aid in determining where further marketing should occur to attract business. If after your consultation you do not wish to proceed with our services, your contact information will be deleted from our records and not used for future correspondence. Contact form is protected by reCAPTCHA and the Google Privacy Policy and Terms of Service.
2. Online booking for Complimentary Consultation
My online booking feature is powered by Microsoft Bookings which has its own privacy and cookies policy Microsoft Privacy Statement – Microsoft privacy. It allows you the ability to view my business calendar and schedule a 1-hour timeslot. Your email and name are required for booking and saved in the Bookings application. Address, phone number and additional notes are optional. Once you book, you will receive a confirmation email with a secure Microsoft Teams link to join a virtual chat on scheduled date. I am sent an email confirming your booking and details you have submitted.
Prior to the consultation I will use your email to send a consultation package which explains our policy, procedures, workplace safety plan and a copy of a service agreement.
If after your consultation you do not wish to proceed with our services, your contact information will be deleted from our records and not used for future correspondence.
3. Collection through Company Social Media Platforms
Baby Helping Hands may receive personal data from our company social media platforms (Facebook, Instagram or LinkedIn), in which case Baby Helping Hands may collect and store information to be used to contact you, answer questions asked or finalize details of your services.
4. Intake Form
Microsoft Forms are used to collect information that helps Baby Helping Hands create your service agreement and postpartum plan. Microsoft Forms compliance Security and Privacy in Microsoft Forms - Microsoft Support . This form provides information about your birth experience, any health issues your family may have, feeding preferences, baby’s behaviour and development concerns, an understanding of our work environment in your home and provides yourself, partner (if applicable) and your doctor (in case of emergency) contact information.
5. Service Agreement
“Your name, your child’s name, phone number, address and email” is used in your service agreement.
6. In Home Postpartum Services
Everything discussed between yourself, and Baby Helping Hands is confidential and not shared with third parties.
7. Virtual Postpartum Services
A secure and separate Microsoft Teams link is provided for each session. Everything that is discussed is confidential and not shared with third parties.
8. Gift Cards
If you wish to purchase a gift card and have it sent by email to an individual, the email address you provide will only be used for this purpose. That individual will not receive any further correspondence from Baby Helping Hands. It is your responsibility to confirm they have received gift card.
9. Evaluation Forms
Microsoft Forms is used to collect information about your experience using Baby Helping Hands services. Microsoft Forms compliance Security and Privacy in Microsoft Forms - Microsoft Support. You have the option to opt out. This information is collected so I know what I am doing well, where I need improvement and other services you wish were provided.
Sharing of Your Personal Data
As stated above your personal data is used only by me at Baby Helping Hands. My company does not sell, rent, or lease out customer list to third parties. Baby Helping Hands will only disclose your personal data if required by law.
Storage and Security of Your Personal Data
Your personal data is stored in a cloud platform and paper copies are kept as a further backup and to ensure I can access information should our cloud platform be inaccessible. Documents with your personal data will be stored for a period of 6-7 years in compliance with the Canada Revenue Agency standards. After this time these electronic documents will be deleted, and paper documents shredded and discarded.
Your Rights
By using Baby Helping Hands website and services you consent to the collection, use and disclosure of your personal information by Baby Helping Hands in the manner described in the Privacy Policy. Note at any time you may request access to your personal information held by Baby Helping Hands. You may request a correction or deletion of your personal information.
Changes to This Policy
This policy is reviewed regularly, and changes may be made if Baby Helping Hands feels it is appropriate to do you.
